1. Functions
The Department of Academic Services is an academic and administrative unit under the Board of Presidents. The Department advises and assists the Board of Presidents in formulating training objectives; planning development scale; determining the structure of fields of study, disciplines, and modes of training; designing curricula, contents, and teaching methods for undergraduate education; organizing undergraduate admissions; and organizing and managing undergraduate training in accordance with the regulations of the Ministry of Education and Training and the University.
2. Responsibilities
a) Admissions
- Proposing annual admission quotas and developing the University’s overall admissions plan.
- Organizing admissions activities, including receiving applications, organizing examinations, grading, selection, and notifying successful candidates.
- Coordinating with relevant faculties, departments, and academic and administrative units to organize enrollment procedures for admitted students.
b) Academic Management
- Developing orientations for training development, including educational objectives, scale, structure of fields and disciplines, modes of training, curricula, contents, and teaching methods.
- Developing training development plans and action programs to improve training quality.
- Coordinating with faculties in developing curricula that meet intended learning outcomes; propose solutions to achieve the University’s training objectives and learning outcomes in accordance with the regulations of the Ministry of Education and Training.
- Coordinating with faculties in revising curricula, establishing new academic programs, and researching applicable training models.
- Developing annual teaching and learning plans, as well as assessment and evaluation plans; managing and administering the implementation of curricula and teaching, learning, and internship plans across the University; and coordinating and harmonizing plans among faculties, centers, and departments.
- Coordinating with faculties in assigning majors and organizing classes for students.
- Organizing the training process in compliance with regulations; developing academic management procedures; and coordinating with relevant academic and administrative units to ensure proper implementation.
- Conducting mid-term and end-of-semester reviews of teaching and learning activities each semester and academic year; and reviewing innovations in teaching and learning methods.
- Allocating classrooms reasonably and utilizing teaching facilities effectively.
- Coordinating with relevant departments to monitor teaching workload and evaluating teaching quality.
- Compiling and issuing documents related to academic affairs; providing necessary documents to faculties and relevant departments.
- Coordinating with the Department of Science, Technology, and International Projects in compiling and appraising textbooks and teaching and learning materials serving training and research activities.
- Managing and archiving student records, transcripts, and related documents in accordance with regulations; establishing and maintaining student databases for management purposes.
- Coordinating with faculties in entering and managing students’ grades, ensuring accuracy and academic integrity.
- Monitoring, supervising, analyzing, and evaluating training outcomes; advising and proposing appropriate measures to improve training quality.
- Tackling issues concerning students’ continuation of study, temporary suspension, dismissal, implementation of capstone projects/specialized projects/theses, and conferment and recognition of graduation in accordance with training regulations.
- Issuing diplomas and certificates in accordance with the regulations of the Ministry of Education and Training and the University.
- Researching and developing software, tools, and information technology applications for admissions and academic management; and operate and effectively utilizing learning management systems (Edusoft.net, Edusoft Web, E-learning, admissions systems, etc.).
c) Administrative Management in Training
- Receiving requests and provide students with records and documents related to academic functions.
- Carrying out administrative procedures (certification of teaching hours, student numbers, etc.) to support payment of teaching remuneration and other training-related tasks.
- Resolving complaints and claims related to academic affairs within the Department’s authority.
- Drafting statistics of student numbers, learning outcomes, training scale and quality, etc., for research purposes or as directed by the Board of Presidents.
d) Risk Management
- Organizing and implementing risk management activities of the Department in accordance with University regulations.
e) Quality Assurance and Accreditation
- Implementing internal quality assurance and educational accreditation activities in accordance with the University’s plan.
